Position Description:

The Events & Program Administrator will enhance the programs ability to plan and execute high-quality events in support of the program. In between event tasks, the individual will coordinate, plan, and execute processes in support of one, or several projects and programs, to accomplish program goals within cost and schedule guidelines. This position will support the Programs within the Manufacturing and Information Management division to handle events from start to finish, collaborating closely with in-house program teams and external vendors. The Events & Program Administrator will need to adapt to program priorities and ensure the most critical responsibilities are addressed efficiently.

Essential Functions:

Event Administration Functions
  • Serves as the primary program-level coordinator for program events, working closely with the Program Team and ATI's Events Team to plan and execute meetings, conferences, webinars, training sessions, exhibitions, and other program-related events.
  • Coordinates with the Events Team on all aspects of the event planning process including venue sourcing, Request for Proposals, Banquet Event Orders, budget development, and communication with the venues, Invoicing, ePRs, Cvent, Virtual Events.
  • Collaborate with the Program Team, Events Team, venue representatives, vendors, stakeholders to ensure event requirements are effectively communicated and coordinated. all programs within the division as well as venue representatives.
  • Provide onsite event coordination including all aspects of execution, troubleshooting, event set up, tear down.
  • Maintain accurate event records to capture accurate attendance records, event feedback and lessons learned.
  • Administer and support event tool usage and training within the division, specifically: Cvent, Zoom, Meetup Tool and Teams and others as needed.
  • Coordinates planning and execution of divisional internal meetings such as webinars and trainings as needed.


Program Administration Functions
  • Develops sufficient program knowledge to effectively interface with team members and clients.
  • With guidance from the Project or Program Manager, support project activities to include the following:
    • reviewing invoices for accuracy and appropriateness and evaluates cost variances
    • verifies proper data entry to enable the Project or Program Manager to track project progress and deliverables to ensure timely completion and acceptance by the AOR
    • enables the environment to support collaborative leadership, facilitation and interface among supported customers, vendors, and users.

  • Assists in the preparation and execution of program updates for program reviews and conferences.
  • Assists in the preparation and documentation of program team meetings, either on-site or virtual as required by the contract/agreement.
  • Prepares, reviews, and finalizes the content of program websites, brochures, posters, and newsletters, and advises program team members of needed updates and maintenance.
  • As directed, performs with a high degree of accuracy data entry of financial and program information in support of reporting requirements.


Additional Responsibilities:

Performs other duties as assigned.

Qualifications:
Bachelor's Degree required with four or more years of proven and directly related experience in events management. Degree in Hospitality Management, Marketing or related field preferred.

Proven track record of identifying and maximizing event opportunities

Must be a self-starter who requires little to no supervision to meet corporate goals

Excellent time management and communication skills required

Independent self-directed worker, team player, and problem solver

Capable of working with internal and external teams and partners

Experience coordinating large-scale Hybrid and Virtual events (500+ attendees, exhibitions, convention centers)

Familiarity with event registration software

Must be able to travel at the discretion of ATI.

Ability to work under strict deadlines

This position will need the ability to access US only data systems - US Citizenship is required and/or must be able to obtain and maintain a DOD security clearance.

Anticipated starting pay rate is in range commensurate with education and experience:
$70,000 - $75,000
