Job Summary

Supports the Information Technology organization by managing vendor relationships, overseeing contract lifecycles while ensuring compliance with company policies and procedures. Responsible for coordinating procurement activities, tracking contract performance, facilitating renewals, and serving as liaison between I.T. leadership and vendors. Also provides administrative support to I.T. leaders, to include scheduling, communication coordination, meeting preparation, and operational follow-up. Plays vital role in maintaining organized processes, supporting strategic initiatives, and ensuring efficient day-to-day operations within the I.T. department.

Essential Functions & Key Responsibilities

  • Serves as vendor relationship administrator as well as providing administrative support for the I.T. organization. Participates in a broad range of vendor relationship management duties and office administration assignments involving other Company executives and executive assistants. Exercises independent discretion and judgment to determine items that require personal attention from leadership, and which can be delegated to others or done personally.
  • Coordinates the full lifecycle of I.T. vendor contracts, including intake, review, routing, approval, renewal tracking, and document management.
  • Maintains the I.T. contract repository and ensure all agreements, amendments, and supporting documents are accurate, current, and properly stored.
  • Supports I.T. procurement activities by gathering requirements, preparing purchase requests, monitoring vendor performance, and assisting with budget alignment.
  • Acts as primary point of contact between I.T. leadership, internal stakeholders, and external vendors to facilitate communication, issue resolution, and service delivery expectations; monitor contract deadlines, renewal dates, and service-level commitments; provide timely reminders and recommendations to I.T. leadership.
  • Assists with vendor onboarding and compliance requirements, ensuring vendors meet company standards and security policies.
  • Prepares reports and summaries related to vendor performance, contract status, cost analysis, and operational trends for I.T. leadership; prepares routine and special contract status reports for management, as needed. Drive vendor performance management process via drafting new evaluations, executing annual scorecards and identifying critical vendors.
  • Interprets simple to moderately complex contractual documents and advises all concerned departments of contractual rights and obligations; maintains contract status and identifies problems and suggests resolutions to management.
  • Reviews correspondence concerning customers and responds as needed; receives and interprets changes to current contracts requested by customer; researches and provides management with information relative to suggested response.
  • Provides comprehensive administrative and operational support to executive leadership across domestic and international business activities as well as providing routine administrative support to I.T. leaders, including scheduling meetings, coordinating calendars, preparing presentations, and supporting departmental planning activities.
  • Manages departmental credit card transactions, including processing payments, tracking expenses, reconciling monthly statements, and ensuring compliance with company purchasing policies.
  • Organize, track, and follow-up on action items, ensuring smooth daily operations and alignment across I.T. leadership priorities.
  • Authorized signatory management, ensuring appropriate authorization and usage of signatures and corporate seal.
  • Supports departmental
    initiatives, projects, and communications, ensuring consistency and timely
    execution.

Performs other duties as required. These duties may include assignments in job classifications and departments other than the primary assignment.
Minimum Qualifications
Education Requirements

Minimum 4 Year / Bachelors Degree. Business Administration or other related studies.

If applicable, a combination of experience and training may be substituted for the education requirement.
