Facilities Operations Coordinator

Help Keep Rize Running

At Rize Credit Union, a great workplace doesn't happen by accident. Behind the scenes, our Facilities team helps ensure our corporate office and branch locations have the services, resources, security, and support our team members need to do their best work.

We're looking for a Facilities Operations Coordinator who is organized, resourceful, service-minded, and great at keeping multiple moving pieces on track.

In this role, you'll coordinate a wide variety of day-to-day Facilities activities - from service requests, purchasing, vendors, and workplace needs to physical access, records, shipping, and project coordination. You'll work closely with team members across Rize as well as outside vendors and service providers, making this a great opportunity for someone who enjoys variety, problem-solving, and being the person others can count on to get things done.

What You'll Do

Coordinate Facilities Operations

  • Serve as a key point of contact for Facilities-related requests from our corporate office and branch locations.
  • Monitor requests and work orders, coordinate scheduling and resources, and follow through to ensure needs are addressed.
  • Help identify recurring service issues and opportunities to improve our workplace and Facilities processes.

Support Vendors & Purchasing

  • Coordinate vendor quotes, proposals, onboarding, documentation, contracts, insurance certificates, and other requirements.
  • Purchase office, breakroom, furniture, and other operational supplies and help ensure Rize gets the right products and services at the right value.
  • Review invoices and purchasing documentation and help resolve delivery, billing, backorder, and other vendor issues.
  • Track recurring Facilities requirements such as permits, inspections, vehicle registrations, and renewals.

Coordinate Mail, Shipping & Workplace Services

  • Coordinate incoming and outgoing mail, packages, courier services, carrier accounts, pickups, and deliveries.
  • Troubleshoot shipping and delivery issues and keep internal teams informed.

Support Physical Security & Access

  • Coordinate employee badges, access permissions, keys, replacements, and deactivations.
  • Assist with administrative activities involving access control, CCTV, intrusion detection, and other physical security systems.
  • Maintain accurate access and security-related records and coordinate follow-up when issues arise.

Keep Assets, Records & Projects Organized

  • Track fixed assets and maintain accurate inventory and supporting documentation.
  • Coordinate physical and offsite records management, including storage, retrieval, digitization, retention, and destruction activities.
  • Help keep Facilities projects moving by maintaining schedules, trackers, deadlines, action items, documentation, vendor coordination, and status updates.

What You'll Bring
Required

  • High school diploma or GED required
  • 3+ years of experience in facilities coordination, workplace or office operations, administrative services, purchasing/procurement, vendor coordination, or a related operational support role.
  • Strong organizational skills with the ability to manage multiple requests, projects, deadlines, and competing priorities.
  • Excellent attention to detail and follow-through.
  • Strong customer service and communication skills and the ability to work effectively with employees, leaders, vendors, contractors, and service providers.
  • Good judgment and discretion when working with confidential, sensitive, or security-related information.
  • Strong problem-solving skills and the initiative to identify needs, research options, and recommend solutions.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Comfort learning new systems and technology used for work orders, purchasing, project tracking, access control, records management, and other Facilities functions.
  • Valid driver's license and ability to travel between Rize locations as needed.

Preferred

  • Additional education in business, facilities management, operations, or project management.
  • Experience supporting multiple locations or working in a financial institution or other regulated environment.
  • Bilingual English/Spanish skills.

What to Expect

This is a hands-on coordination role that combines office-based administrative work with regular movement throughout our facilities. You may occasionally work in mailrooms, storage areas, building service areas, or spaces undergoing maintenance or renovation and may need to lift or move items weighing up to approximately 25 pounds.

Some travel between Rize locations may be required, along with occasional schedule flexibility to support projects, vendors, building access, relocations, or other operational needs.

Schedule & Work Location

This position is based at our Irwindale headquarters with a regular schedule of Monday through Friday, 9:00 a.m. to 5:30 p.m.

Because learning our facilities, processes, vendors, and internal partners is an important part of getting started in this role, the position will be onsite during the first 90 days of employment. After the initial 90-day period, a hybrid schedule with the opportunity to work remotely 1-2 days per week may be considered, based on successful onboarding, performance, and the operational needs of the Facilities team.

Because Facilities is a hands-on function, onsite availability and occasional flexibility outside of regular business hours may be needed to support projects, vendors, building access, relocations, or other operational needs.

Why Rize?

At Rize Credit Union, our mission is to uplift communities through knowledge, access, and care. That starts with creating an environment where our own team members have the tools, resources, and support they need to succeed.

If you enjoy bringing order to moving parts, solving problems, building strong working relationships, and creating a workplace that works better for everyone, we'd love to hear from you.

Compensation
The expected pay range for this role at Rize Federal Credit Union is $25.00 - $32.00/hour. This range is based on candidates living locally in California as this is a hybrid remote work role.

Actual compensation is determined by experience, education, skills, internal equity, and other job-related factors.
As part of the hiring process, candidates who receive a contingent offer will undergo a background investigation, which may include employment verification, credit review, criminal records search, Social Security verification, and government registry checks. Candidates must also meet eligibility requirements to be bonded under a fidelity bond.
