TITLE: Office Assistant B


POSITION OBJECTIVE: Support HR department in various tasks and responsibilities. Ensure positive employee relations by proactive employee communication. Serves as internal resource for employee inquiries. Direct employees as necessary to the appropriate resource. Assist managers with actions in HR system.


QUALIFICATIONS:



  • High School diploma or equivalent
  • Proficiency in Microsoft Office Suite.
  • Must be self-motivated and able to work well independently.
  • Ability to deliver and execute high-quality and consistent Human Resources processes and services.
  • Excellent verbal/written communication skills.
  • Ability to work collaboratively and professionally with all departments, and management levels within
  • the company.
  • Ensure consistent, dependable attendance and demonstrate a willingness to accommodate non-standard work hours as necessary.
  • Capable of effectively managing job-related stress and fostering productive workplace interactions.



SKILLS & EXPERIENCE:



  • Superior telephone manners and strong interpersonal skills.
  • Excellent typing skills, including proper spelling and grammar.
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Ability to communicate effectively with all levels of the company.
  • Able to work efficiently as a part of a team as well as independently.
  • Computer literacy, including effective working skills in MS Word, Excel, PowerPoint, and e-mail required.
  • Ability to use general office equipment.
  • Ability to adapt to and learn new software.
  • Attention to detail in all areas of work.
  • Ability to interpret and implement company policies and procedures.
  • Professional appearance and manners.



PREFERRED SKILLS:



  • Office - Knowledge of office functions, phone system, computers, printers, scanners, etc.
  • Payroll - Knowledge of payroll schedule (when pay week ends and when pay dates are), for time and Attendance Administration.
  • Reading Comprehension - Understanding written sentences and paragraphs in work related documents.
  • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Time Management - Managing one's own time and staying busy when there is down time.
  • System - Proficiency with HRIS and HR time keeping systems preferred.



JOB RESPONSIBILITIES:



  • Assist with on-boarding activities.
  • Support internal and external compliance audits.
  • Assist with password resets and MFA support, swiftly address access issues while upholding security standards.
  • Assist with HR and other administrative events focused on employee recognition.
  • Maintain records within HRIS and manual filing systems.
  • Distribution of company newsletters and other media to employees.
  • Issue employee ID badges and shuttle bus passes to employees as needed. Includes distribution and invoicing.
  • Prepare check requisitions for approval to be submitted to accounting for payment of invoices.
  • Conduct audits and maintenance of employee personnel files, including I-9 compliance and expiring document re-verifications.
  • Process employment verification requests and manage all office fax communications.
  • Prepare and manage new-hire documentation, ensuring proper retention and filing procedures.
  • Order and maintain office supplies to support daily business operations.
  • Work together professionally in a team environment with coworkers and other department personnel.
  • Demonstrates good housekeeping by ensuring assigned area is kept clean.
  • Adhere to the Inteplast Group Code of Ethics and actively apply the Inteplast Group Values.
  • Provide general information and assistance internally and externally over the phone, electronically, and in person.
  • Maintain confidentiality and uphold ethical HR practices to foster trust and compliance within the organization.
  • Ability to backup other HR staff members when needed.
  • Complete other duties and projects as assigned.



WORK ENVIRONMENT CONDITIONS SUBJECTED TO IN THIS POSITION:



  • Primarily an office environment with occasional visits to the production floor as needed for employee interactions, training, and other workplace matters.



PHYSICAL ACTIVITY REQUIRED FOR THIS POSITION:



  • Manual dexterity required to use desktop computer and peripherals.
  • Lifting or moving up to 10 lbs. may be required.
