Job Title: Executive Assistant Experienced Job Location: Houston, TX
Job Description: Position whose main responsibility is to provide administrative management and Life Leadership Team (LLT) level support. This role will interact with all levels of employees, departments, external parties, and vendors in day-to-day administrational transactions. The position will require general assistance as well as reporting, communications, and commitments for the US Life business.
Specific duties include:
- This position requires extensive experience and reliability in managing all aspects of support for a C-suite level employee with high attention to detail and judgment.
- Extensive Calendar maintenance, and scheduling resolution in conjunction with the President of the Life business.
- Making and or changing travel arrangements, both international and domestic, sometimes on extremely short notice.
- Managing confidential, time-sensitive internal and external communications, discreetly.
- Composition of clear written communications as articulated by leadership.
- Basic understanding and analysis of critical and confidential information which can then be input into Excel spreadsheets, PowerPoint presentations, SharePoint, etc.
- Doing preliminary leg-work to facilitate administrative decision making.
- Perform similar executive level Senior Assistant activities including facilitating phone conferencing, meetings in Teams, invoice payment and budget management in SAP, ordering equipment/supplies, approve PTO requests from direct reports in Workday, etc.
Job Requirements:
- Extremely well organized with the ability to multi-task and prioritize.
- Approaches daily tasks with professionalism, resourcefulness, and discretion.
- Ability to communicate globally with individuals at all levels, internally and externally with a high level of professionalism.
- 5 years of experience as an Administrative Assistant at Executive level (VP or above).
- Experience with all Microsoft Office software, Travel and Expense processing (Concur, Ariba tool) and Calendar scheduling is required.
