POSITION SUMMARY:

The Senior Administrative Assistant provides highlevel administrative and executive support to multiple senior leaders within the Property Management division. Reporting to the Senior Executive Assistant, this role manages complex scheduling, communications, reporting, and coordination activities to support leadership effectiveness and operational flow. Distinguished by the volume and complexity of work handled, this position exercises independent judgment, regularly manages sensitive and businesscritical information, and serves as a trusted administrative partner to leadership. The role focuses on advanced administrative support while maintaining flexibility to assist with broader departmental needs as business demands evolve.

ESSENTIAL FUNCTIONS:



  1. Provides advanced administrative and operational support to multiple senior leaders within Property Management, including calendar management, meeting coordination, travel arrangements, expense processing, and executive scheduling.
  2. Coordinates recurring operational and leadership meetings, including agendas, materials, attendance tracking, notetaking, and distribution of minutes and action items.
  3. Manages complex scheduling across leaders, departments, and operational teams while proactively resolving conflicts and adjusting to shifting business priorities.
  4. Coordinates endtoend travel logistics for leaders and operational teams, including flights, lodging, ground transportation, conference registrations, and itineraries.
  5. Prepares and processes expense reports, corporate card reconciliations, invoices, purchase orders, and reimbursements in compliance with company policies.
  6. Supports operational reporting by preparing, maintaining, and distributing recurring reports, metrics, dashboards, and leadership tracking tools.
  7. Coordinates administrative and logistical support for leadership meetings, regional events, trainings, conferences, onboarding activities, and site visits.
  8. Serves as a primary point of contact for internal and external stakeholders, including residents, vendors, site teams, and leadership, ensuring timely and professional communication.
  9. Assists with resident escalations and issueresolution coordination by partnering with site leadership and operational teams.
  10. Coordinates document routing, approvals, signatures, contracts, vendor agreements, and compliance documentation while ensuring accuracy and proper recordkeeping.
  11. Maintains departmental communication tools and shared resources, including shared mailboxes, distribution lists, tracking systems, and electronic filing.
  12. Monitors and supports workflow coordination by tracking deliverables, deadlines, followups, and departmental initiatives.
  13. Supports onboarding for leadership and operational team members, including training schedules, equipment coordination, and system access requests.
  14. Assists with special projects, operational initiatives, leadership events, and crossfunctional programs by providing administrative coordination and followthrough.
  15. Demonstrates flexibility in supporting projectbased administrative needs, including operational initiatives, reporting, vendor coordination, and compliance tracking.
  16. Partners crossfunctionally with Operations, Compliance, Human Resources, Finance, IT, Corporate Services, and site leadership to support organizational priorities.
  17. Identifies opportunities to improve administrative workflows, communication processes, reporting consistency, and operational efficiency.
  18. Maintains confidentiality and exercises discretion when handling sensitive business, employee, resident, and financial information.
  19. Provides backup administrative and executive support across the broader leadership support team as needed.
  20. Performs additional duties as assigned.


QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)



  • High school diploma or equivalent required; additional education and/or equivalent administrative experience preferred.
  • Minimum of 3 years of progressively responsible administrative support experience, preferably supporting senior or executive leaders in a fastpaced environment.
  • Proven experience supporting multiple leaders simultaneously while managing competing priorities and highvolume workloads.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Teams, calendar management, and expense management systems.
  • Ability to quickly learn and effectively use enterprise systems such as Yardi, Workfront, Envoy, DocuSign, and similar business applications.
  • Strong organizational, time management, and problemsolving skills with keen attention to detail and followthrough.
  • Excellent verbal and written communication skills with the ability to interact professionally across all levels of the organization.
  • Demonstrated ability to exercise independent judgment, discretion, and confidentiality when handling sensitive information.
  • Ability to work independently while maintaining strong collaboration and responsiveness in a deadlinedriven environment.
