This position supports the Finance & Budget Division by providing essential project management and business analysis for high-profile campus and divisional initiatives. It ensures alignment with the division's commitment to financial and operational excellence by driving process improvements, data-informed decision-making, and effective project delivery. The role is responsible for analyzing complex financial and operational data, developing metrics, mapping and optimizing workflows, and translating insights into actionable strategies that enhance efficiency and advance strategic objectives. Projects include but are not limited to: software implementation, software updates, workflow optimization and redesign, event management process optimization and implementation, and various departmental projects.

| Duties & Responsibilities |
- Coordinates project activities with campus partners and external vendors to support assigned projects and initiatives.
- Monitors timelines, project plans, and process maps under guidance from senior project management staff.
- Tracks project scope, schedule, milestones, resources, and deliverables; escalates risks, delays, or issues to project leadership.
- Coordinates communication with campus partners to support assigned project activities; schedules meetings, tracks action items, and ensures follow-up on assigned deliverables.
- Maintains project documentation, meeting notes, dashboards, and deliverable tracking.
- Participates in the design of workshops and helps with the creation of resources to support projects, document outcomes, and finalize processes.
- Prepares project update materials and delivers project status updates to stakeholders
- Participates in project presentations, demos, trainings as needed.
- Adheres to assigned project budgets, maintains budget tracking records, and communicates discrepancies or projected changes to team leadership.
- Works with campus partners to support adherence to approved project budgets.
- Applies working knowledge of project management principles, tools, and methods to coordinate project execution and maintain project deliverables.
- Identifies potential project risks, documents risk details, and tracks mitigation activities; escalates unresolved risks to project leadership.
- Documents workflow steps and coordinates implementation of approved project improvements.
- Pulls metrics and data related to unit operations; uses results to support improvement plans and initiatives.
- Use data to report on deliverables like: time reduction, steps removed, steps automated, milestones met, costs reduced, reports delivered, processes redesigned/improved, procedures documented, projects completed, end-user satisfaction surveys.
- Generates standard reports and provides executive summaries for both formal and informal requests.
- Completes Ad Hoc analyses as needed.
- Collects and organizes data related to business practices and workflows
- Researches industry best practices and supports implementing them on specified projects; supports the development and implementation of policies and procedures.
- Advocates for a culture of safety, designed around identifying challenges, analyzing the root causes, amplifying signals, and collaborating on new solutions, approaches, technologies, and techniques.
Knowledge, Skills, and Abilities:
- Knowledge of the University's enterprise systems
- Intermediate to advanced understanding of Microsoft Office products, particularly Microsoft Excel
- Ability to plan, coordinate, and execute large-scale system implementations and process improvement initiatives.
- Strong interpersonal and communication skills, including the ability to establish rapport with and gain trust of others and to establish cooperative working relationships with a diverse staff and campus community.
- Ability to work under deadlines and adapt to changes with minimum notice.
- Ability to prioritize various critical tasks assigned and to negotiate deadlines to meet the overall goals of the Division
- Ability to identify issues, analyze root causes, and implement effective solutions for continuous improvement.
- Skilled in analyzing financial and operational data, generating reports, and providing strategic recommendations.
- Ability to be creative, supportive, and thoughtful in problem-solving, considering the diverse and occasionally conflicting needs and perspectives of the campus community and the institution.

| Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- 3 years of relevant work experience, or equivalent combination of education and work experience.

| Preferred Qualifications |
- Project Management Professional certification (PMP), Certified Associate in Project Management (CAPM), Agile Certified Practitioner (PMI-ACP), or another Project Management certification/designation.

| Notice of Availability of the Annual Security and Fire Safety Report |
In compliance with the Jeanne Clery Campus Safety Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
