Job Description - Onsite at The Duke Main Hospital
An information technology asset manager analyst is responsible for managing the lifecycle of IT assets, such as hardware, software, and licenses, in an organization. The main duties of an IT asset manager analyst include:
* Tracking and monitoring the inventory, location, status, and usage of IT assets
* Ensuring compliance with IT policies, standards, and contracts
* Optimizing the utilization and performance of IT assets
* Identifying and resolving issues related to IT assets
* Planning and executing the disposal, replacement, or upgrade of IT assets
* Preparing and maintaining reports and documentation on IT assets
* Collaborating with other IT teams and stakeholders to support IT projects and initiatives
To be successful as an IT asset management analyst, you should have the following skills and qualifications:
* Associate or bachelor's degree in information technology, computer science, or related field, or equivalent work experience
* 2 years of work experience, to include experience in at least one of the following disciplines: distribution, warehousing, shipping, receiving, logistics, material handling, customer service, inventory control or other comparable service line Knowledge of IT asset management best practices, tools, and frameworks
* Proficiency in Microsoft Office, databases, and IT asset management software
* Strong analytical, problem-solving, and communication skills
* Attention to detail, accuracy, and quality
* Ability to work independently and as part of a team
* Ability to handle multiple tasks and prioritize effectively
* Knowledge of supply chain best practices, such as lean management, just-in-time delivery, and quality management systems
* Ability to communicate effectively with suppliers, customers, and other stakeholders in the supply chain
* Ability to use supply chain software and tools, such as Service Now Hardware Asset Management (HAM), CMDB, and barcode scanners
* Experience in warehouse and stockroom management, including inventory control, safety procedures, and equipment maintenance.
Duties and Responsibilities
* Have responsibilities in at least one of the following areas in order to ensure optimal inventory management for in-scope facilities: (DRAH, DRH, Duke@ The Park, Hock Plaza, and Golden Warehouse)
* In accordance with established policies and procedures, all staff are required to: Distribute and restock hardware
* Use appropriate Supply Chain technologies (Service Now, Buy@Duke, and SAP) to document movement of hardware.
* Perform inventory counts on a regular basis to ensure accuracy of stock levels in assigned area.
* Check warranty expiration dates on hardware on a regular basis and document, insure first in first out (FIFO) method.
* Accept and sign for deliveries from distributors as necessary
* Inspect shipments, enter Goods Receipts into Service Now, and/or SAP, filing packing slips.
* Report identified shipment discrepancies to senior manager.
* Prepare and ship out Vendor Returns, rotation of stock in all areas.
* Move and stock supplies to appropriate shelfing locations once receiving is complete.
* Transport shipments from warehouse to designated stockrooms.
* Demonstrate excellent customer service when interacting with DHTS staff and end customers
* Ensure all Supply Chain work areas are clean and organized, including all other supply storage areas throughout the facility.
* Manage inventory; assist in preparations and perform annual inventory.
* Proactively collaborate with other Supply Chain stakeholders to adjust par levels and address slow moving items based on supply usage.
* Troubleshoot supply shortage issues and articulate known impact.
* SME (Subject Matter Expert) for CMDB / HAM including receiving and documenting.
* Able to work and complete all assigned tasks with minimal supervision from Manager.
* General ability and willingness to perform additional job functions (within reason) as directed by management.
* Must have the ability to exert 20 to 50 pounds of force occasionally, and or 10 to 25 pounds of force frequently, and up to 10 pounds of force constantly to move objects.
* In this job the exertional requirements are to push/pull the unloaded and loaded supply carts with the duty requiring up to 100 pounds of exertional force daily. Reaching, lifting, stooping and bending are frequent in daily duties.

* Level 1
* Under direct supervision, provide accurate, timely, and effective solutions in support of device support teams to ensure end user productivity
* Must have the ability to communicate effectively and courteously with patients, visitors, staff, and management.
* Must have the ability to follow oral and written instructions and comply with safety policies and procedures.
* Must have the ability to use basic computer skills and operate standard equipment such as telephones, scanners, and printers.
* Must have the knowledge of Microsoft Office products and be able to use them for various tasks such as MS Word and Excel
* Update and maintain the integrity of the asset management system to correctly record the life cycle and status of desktop hardware, peripherals, and software.
* Maintain accurate documentation of all procedures regarding Asset Management operations
* Engage with customers and DHTS internal resources to identify trends, training opportunities, and service improvement opportunities.
* "hands-on" warehouse work, such as loading trucks and moving inventory.
Level 2 - In addition to the duties described for the Level 1, the Level 2 will:
* Collect, analyze, and interpret data related to inventory levels, demand forecasts, supplier performance, relevant metrics.
* Monitor inventory levels and adjust accordingly to par levels in assigned location.
* Develop inventory replenishment strategies, and safety stock policies in assigned support areas.
* Demonstrates positive work-related relationships and communication skills. Identifies areas to improve the function of department/organization and initiates improvement projects as directed
* Supports the organization and other departments in need of information relating to area of expertise
Level 3- In addition to the duties described for the Level 2, the Level 3 will:
* Provides training to Level 1 and Level 2 analysts.
* Identify opportunities to streamline distribution processes, warehouse operations, and order fulfillment workflows.
* Utilize statistical models, historical data, and market trends to optimize inventory levels and ensure timely availability of hardware
* Assists in the identification of cost savings initiatives, as directed. Initiates and implements cost savings initiatives, as directed.
Level 3 - Technical Lead (Level 3 Analyst)
