A Senior Client Service Associate plays a critical role in supporting financial advisors by delivering exceptional client service, managing complex administrative tasks, and ensuring operational excellence across the team. SCSAs serve as subject matter experts and mentors to Client Service Associates, and lead project work. This position is ideal for a detail-oriented, client-focused professional who thrives in a fast-paced financial services environment and is ready to take on leadership responsibilities.


Pay Range: $70,000 - $90,000 / year


ESSENTIAL DUTIES AND RESPONSIBILITIES:
Client Relationship Management:


  • Serve as the primary point of contact for clients regarding account inquiries, service requests, account maintenance, and administrative needs.
  • Maintain and update client records in Salesforce with a high level of accuracy and completeness.
  • Schedule and confirm client meetings, prepare meeting materials, and ensure timely follow-up on action items.
  • Enter meeting notes and perform account maintenance tasks in Salesforce to support advisor-client engagement.



Advisor Support


  • Prepare advanced reports, presentations, and documentation to support client reviews and financial planning.
  • Coordinate with internal departments (e.g., compliance, operations, trading) to resolve escalated issues.
  • Monitor and track client service activities to ensure timely and accurate completion.
  • Interface with custodians to open new accounts, update account information, and perform routine and specialized tasks.



Operational Support:


  • Process complex account openings, transfers, and maintenance requests with precision.
  • Assist with money movements, including wires, ACH transfers, and check requests, ensuring compliance and timeliness.
  • Ensure adherence to firm policies and regulatory requirements, acting as a compliance resource for the team.



Administrative Duties:


  • Manage advisor(s) calendars and schedule meetings with clients and internal stakeholders.
  • Handle incoming calls, emails, and correspondence professionally and promptly.
  • Process and submit paperwork, checks, and securities in a timely manner, ensuring completion and accuracy.



Leadership and Mentorship:


  • Mentor and train Client Service Associates, providing guidance and support to enhance team performance.
  • Serve as a subject matter expert for project work and operational initiatives.



General Duties:


  • Attend department meetings and stay current on Wealth Management policies, procedures, and products in an evolving regulatory environment.
  • Maintain internal client file integrity and ensure documentation standards are met.
  • Uphold Nicolet's philosophy and policies by maintaining appropriate controls to ensure full compliance with applicable laws and regulations.
  • Demonstrate a commitment to diversity, equity, and inclusion in all workplace interactions.
  • Perform all other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:


  • Proficiency with Microsoft Office Suite and CRM platforms (Salesforce).
  • Effective verbal and written communication skills and strong interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to multi-task and prioritize work effectively in a dynamic environment.
  • Ability to handle confidential information with discretion.
  • Self-motivated, resourceful, and capable of working independently and collaboratively.
  • Effectively promote Nicolet as an employer of choice.
  • Basic knowledge of banking and financial services positions.



EDUCATION AND EXPERIENCE:


  • High School diploma required; Associate's or Bachelor's degree in related field strongly preferred.


  • Minimum of 5 years of relevant industry experience in a comparable role.
  • Successful completion of the Securities Industry Essentials (SIE) exam.



PHYSICAL DEMANDS:
