POSITION SUMMARY:

The Human Resources Coordinator is responsible for supporting the HR Leaders and staff with all aspects of human resources to include overseeing various tasks, processes, and special projects independently.

JOB DUTIES / RESPONSIBILITIES:

  • Greets visitors in the Human Resources Office.
  • Answers telephone calls and redirects calls to other HR staff for more specific information if needed.
  • Assists applicants, candidates, employees, and leaders with general inquiries, redirecting as needed.
  • Serves as the principal contact for final candidates and newly hired employees according to the onboarding guidelines and overall hiring process; to include but not limited to, processing new hire paperwork, coordinating required medical testing (i.e., physicals, drug screens), fingerprinting, submitting documentation to the appropriate regulatory entities and ensuring compliance to government and organization recordkeeping requirements (i.e., I-9).
  • Sends congratulatory appointment confirmation and email to final candidates to include the approved attachment that outlines their role in the hiring process along with what the New Hire/s are to bring to the Onboarding meeting.
  • Prepares onboarding packets and completes the New Hire Onboarding meeting with follow up submissions to regulatory agencies per the HR Metrics and Onboarding Checklist.
  • Creates and maintains new hire employee files and completes audit to ensure compliance.
  • Assigns keys and badges to new hires and contract staff according to guidelines unless alternative stipulations are approved.
  • Assists with Coordinating the New Hire Orientation by preparing the folders and tent card. Folders and tent cards should be in place along with handouts/giveaway items prior to the NHO start time.
  • Assists in the monitoring and tracking of performance evaluations, annual training, verifying licensure, and compiles reports as needed.
  • Provides consultative end user transaction processing guidance, i.e., employee self-service, HealthStream, etc.
  • Maintains confidentiality of staff and Hospital as required by HIPAA and other federal and state regulations.
  • Participates in activities/initiatives that encourage employee retention.
  • Provides back-up support to the HR Team as needed.
  • Delivers, sorts, and distributes office mail.
  • Orders office supplies and checks inventory of supplies.
  • Ensures tasks are completed timely to ensure HR Metrics and regulatory compliance is met.
  • Under the direction of the Human Resources Team, assists with candidate sourcing and screening as needed.
  • Participates in recruitment activities (i.e., career fairs, college fairs, open houses, etc.).
  • Adheres to all corporate and Hospital initiatives, policies, and procedures.
  • Attends Hospital mandatory training/in-services as well as UHS Corporate HR Training as required.
  • Performs other duties to include special projects as assigned.

Qualifications

  • Associates degree with at least two years of Human Resources experience or bachelor's degree required.
  • Minimum two years of previous experience in HR required. One year of experience with on-boarding new hire employees required. Healthcare setting/experience preferred.
  • Excellent customer service skills are required. Must possess superb multi-tasking and organizing skills with effective communication skills, both verbal and in writing.
  • Must be able to work in a very fast-paced environment with frequent interruptions.
  • Must be proficient in Word, Excel, and Outlook applications.
