The Loudoun County Sheriff's Office is seeking qualified applicants for a full-time Warrants Clerk position located within the Records Section at the Loudoun County Sheriff's Office Headquarters Building. The Warrant Clerk is responsible for accurate entry, timely processing, tracking, and auditing of all criminal warrants, capiases, and protective orders in accordance with Virginia state law and local policy. This position ensures compliance with all applicable daily, monthly, quarterly, and 72-hour deadlines mandated by the Commonwealth of Virginia and supports the integrity of criminal and civil case records.

Essential Duties and Responsibilities * Receives, reviews, and inputs all criminal warrants, capiases, and protective orders into the designated records management systems (RMS) and VCIN/NCIC, ensuring accuracy, completeness, and timeliness of data entry. * Processes and distributes warrants, capiases, and protective orders to appropriate Stations within the County, and other law enforcement agencies, and courts in accordance with policy and Virginia state mandates. * Conducts regular audits (daily, monthly, quarterly, and as otherwise required) of entered warrants, capiases, and protective) * Coordinates with courts, law enforcement agencies, prosecutors, and internal staff to resolve issues related to the status, accuracy, or service of warrants, capiases, and protective orders. * Maintains organized, auditable records (electronic and/or hard copy) of all warrants, capiases, and protective orders, including issuance, service, modification, recall, and expiration. * Ensures confidential handling and secure storage of sensitive information related to all warrants, capiases, and protective orders. * Stays current on changes in Virginia statutes, regulations, and court rules related to warrants, capiases, and protective orders, and updates procedures and practices as directed.
Compliance with Deadlines and Legal Requirements * Monitor and adhere to strict processing deadlines, including: * Same day/daily processing deadlines for incoming and outgoing paperwork. * 72-hour legal and policy deadlines for entry, confirmation, and validation of warrants and protective orders. * Weekly, monthly, and quarterly timelines for audits, reconciliations, and status reviews. * Track pending items and follow up with appropriate agencies, courts, and staff to prevent overdue or non-compliant actions. * Assist with internal and external audits related to warrant and protective order records, ensuring any discrepancies are identified and resolved promptly.
Hiring salary will be commensurate with experience.

Minimum Qualifications

* High school diploma or equivalent; three (3) years of related clerical/administrative work experience with computer automated systems and Microsoft Office applications preferably in a government environment; or equivalent combination of education and experience. * Must be a US Citizen or 10-year resident of the United States. Must pass a VCIN/NCIC examination and become VCIN/NCIC certified within one year of employment.
