Job Summary:
The Executive Assistant provides direct administrative and operational support to three company owners. This role is responsible for managing schedules, coordinating communication, and ensuring alignment across leadership priorities. The position requires a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously. The Executive Assistant serves as a central point of coordination and must maintain professionalism, discretion, and strong communication in all interactions.
Roles and Responsibilities:
- Manages calendars for three company owners, including scheduling meetings, resolving scheduling conflicts, and prioritizing time-sensitive matters.
- Coordinates internal and external communications on behalf of leadership, ensuring timely and accurate information flow.
- Supports meeting logistics, including agenda preparation, material distribution, note-taking, and follow-up on action items.
- Act as marketing coordinator for the company, supporting social media content, managing photos, and assisting with basic marketing initiatives.
- Coordinate and support planning and execution of company events, including social events and employee gatherings, along with related logistics, vendor coordination, and on-site execution.
- Prepares, reviews, and organizes documents, reports, presentations, and correspondence.
- Tracks and manages multiple priorities, deadlines, and follow-up items across leadership initiatives.
- Coordinates travel arrangements, itineraries, and expense reporting.
- Maintains organized and confidential records, files, and documentation.
- Performs occasional administrative and logistical support tasks outside the office, including handling time-sensitive pickups, deliveries, and other business-related errands as needed.
- Assists with special projects and cross-functional initiatives as directed.
- Comply with all company safety policies, procedures, and applicable regulations while maintaining a safe, clean, and professional work environment. Promptly report hazards, incidents, and unsafe conditions to help protect employees, customers, and company property.
- Perform other duties as assigned by supervisor.
Minimum Requirements:
- Experience providing administrative support to senior leadership and/or ownership.
- Demonstrated ability to manage multiple priorities and adapt to changing demands.
- Strong written and verbal communication skills.
- High attention to detail and accuracy in all work.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency with standard business software, including Microsoft Office applications.
- Ability to work independently and maintain organization in a fast-paced environment.
Physical Requirements:
- Ability to sit for extended periods while working at a computer.
- Ability to use standard office equipment, including computers, phones, and printers.
- Ability to communicate effectively, both verbally and in writing.
- Ability to occasionally stand, walk, bend, and reach.
- Ability to travel locally, as needed to perform business-related errands.
- Ability to occasionally lift and move items up to 20 lbs.
