Overview
The Department of Mathematics and Statistics in the College of Arts and Sciences at Utah State University is seeking a Program Assistant Sr. This position will include a variety of administrative and support responsibilities relating to department programs. This position includes extensive interaction with faculty, students, and other staff, and is a full time, in person 8am to 5pm 40 hours per week benefited position. The department is one of the university's largest, with 50 faculty across 7 campuses statewide, 5 staff, approximately 80 student employees, approximately 60 graduate students, and more than 200 undergraduate majors. Each year more than 8,000 students (more than 25% of the university's total enrollment) take courses from the department's programs. In addition to its undergraduate and graduate programs, the department maintains active faculty research programs across a wide range of areas in pure mathematics, applied mathematics / mathematical biology, mathematics / statistics education, and statistics / data science.

Responsibilities
  • Provide support to the department head, related to the department's programs.
  • Manage the department's front office, including scheduling department conference rooms and events, ordering department supplies, coordinating with facilities regarding building issues (including keys for department employees), and positively representing the department and its programs to office visitors.
  • Support the advertising of department programs and events, including promotional material on the department's website and social media accounts, and rotation of department electronic displays.
  • Coordinate planning of department events such as research seminars, workshops, program recognition awards, and program socials.
  • Supervise student employees who assist with the front office.
  • Coordinate feedback regarding department programs, from students to faculty and administration by serving as the department IDEA online evaluation system administrator, and by assisting with program assessment.
  • Ensure departmental programs' scholarship administration is compliant with university policies and procedures.
  • Perform miscellaneous job-related duties as assigned.


Qualifications
Minimum qualifications:
  • Six years of related experience; or an associate degree/technical training plus four years of related experience; or a bachelor's degree plus two years of related experience is required. Experience acquired concurrent with degree completion is acceptable.
  • Working knowledge of department undergraduate program requirements and curriculum.
  • Excellent customer relations skills.

Preferred qualifications
  • Working knowledge of university forms, policies, and procedures as they relate to student records.
  • Graphic design capabilities or experience with Canva.

Knowledge, Skills, and Abilities
  • Skilled with Microsoft Word, Excel, and Adobe related software.
  • Skilled in critical thinking and creative problem-solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational and multitasking skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Ability to work with others as part of a team.
