Job Title: Oasis Center Office Manager

Job Summary The Oasis Center Office Manager ensures smooth daily operations of the Oasis office by supervising volunteers, managing administrative tasks, and producing the center catalog. This role supports the Director with strategic planning, serves as acting lead when the Director is absent, develops and enforces office policies and procedures, and serves as the primary liaison with the Oasis Institute for database, registration, and other operational systems.

Key Responsibilities



  • Oversee daily office operations to maintain efficiency and service quality.
  • Recruit, train, schedule, supervise, and evaluate center office volunteers.
  • Manage administrative functions including correspondence, recordkeeping, supplies, and office systems.
  • Design, lay out, and produce the center catalog (desktop publishing).
  • Serve as primary point of contact with the Oasis Institute for database management, registration processes, and other critical operational issues.
  • Assist the Director with strategic planning, project implementation, and special initiatives.
  • Act as charge staff in the Director's absence, making operational decisions and coordinating staff/volunteer activities.
  • Develop, document, implement, and maintain office policies and procedures.
  • Resolve office-level problems, escalate issues when necessary, and facilitate conflict resolution among staff, volunteers, and members.
  • Work collaboratively with program coordinators, tutor coordinators, instructors, and partners as needed.


Supervisory Relationships



  • Reports to: Department Director, OASIS
  • Supervises: Center office volunteers. May also provide supervision or direction to the Tutor Coordinator and/or Program Coordinator as delegated by the OASIS Director.


Education & Experience



  • Bachelor's degree preferred.
  • Minimum of 2 years' experience in a management or administrative support role.
  • Experience working with older adults and with volunteers required.


Knowledge, Skills & Abilities



  • Proficient with Microsoft Word, Excel, PowerPoint and desktop publishing software.
  • Strong written and verbal communication skills; able to draft correspondence independently.
  • Demonstrated problem-solving and decision-making abilities.
  • Confident communicator who is diplomatic, discreet, and persistent when needed.
  • Strong organizational skills and ability to work under pressure.
  • Able to facilitate discussions and negotiate issues to resolution.
  • Comfortable working flexible hours to meet department needs.
  • Team-oriented and able to collaborate with a variety of stakeholders.


Working Conditions



  • Office environment with occasional need for flexible hours and event support.


Salary Range: Minimum 22.65/hour - Maximum 39.65/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility. In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
