Position Summary: The HR Project Assistant is a temporary position that supports the Human Resources department with key administrative and organizational projects. This role focuses on digitizing employee records and assisting with the review, update, and organization of job descriptions across the Great Lakes Division of The Salvation Army.

Essential Responsibilities:



  • Scan, index and organize paper employee files into electronic format in accordance with HR recordkeeping standards.
  • Ensure accuracy, completeness, and proper naming conventions of digitized files.
  • Maintain strict confidentiality when handling sensitive employee information.
  • Assist with auditing existing personnel files to identify missing or incomplete documentation.
  • Support the review and standardization of divisional job descriptions.
  • Format, edit, and organize job descriptions to ensure consistency in structure, language, and branding.
  • Track progress of job description updates and maintain organized records of revisions.
  • Collaborate with HR team members and department leaders to gather and clarify job information as needed.
  • Perform other duties as assigned.


Education/Experience:



  • High School diploma with some college preferred.
  • Previous administrative experience, ideally in an HR environment.


Skills, Knowledge & Abilities:



  • Strong attention to detail and organizational skills.
  • Ability to handle confidential information with discretion.
  • Strong written communication skills, particularly in editing and formatting documents.
  • Ability to work independently and meet project deadlines.


Computer Skills:



  • Knowledge of HRIS systems, ADP preferred
  • Proficient in Microsoft Office 365
  • Working knowledge of TEAMS and SharePoint
  • Willingness to learn new software as needed


Certificates and Licenses:



  • Complete Safe From Harm training, and keep current as needed
