POSITION SPECIFICS

Join the College of the Liberal Arts as an Academic Program Coordinator and provide key administrative support to the departments of History and Classics and Ancient Mediterranean Studies, as well as the Jewish Studies and Latina/o Studies programs.

The Academic Program Coordinator will be the primary point of contact for all undergraduate program matters, assisting facultyand students in a busy, team-oriented office environment.

This role is responsible for event coordination, graduation certification, course offering processes, and other functions of the program.

Key Responsibilities of the Academic Program Coordinator:

  • Coordinate events and lectures for the departments and programs; assist in logistics, publicity, and travel/hotel accommodations for invited guests

  • Work collaboratively with undergraduate advisors, the undergraduate officer, and the department head to assess and serve the needs of undergraduate students

  • Assist advisors in counseling undergraduate students with major and minor requirements within the departments and programs

  • Develop the initial graduation verification list and accompanying audits; refer issues to the advisor or undergraduate officer

  • Maintain various departmental databases, directories, and files

  • Course scheduling: room scheduling, data input, schedule changes, textbook orders, and final exam scheduling

  • Administer area policies and procedures; answer related questions

  • Process record changes to include grade change, drop/add, missing grade and course cancellations

  • Manage the Student Educational Experience Questionnaire (SEEQ) process

  • Provide backup support to the Receptionist and other administrative team members as needed

The Academic Program Coordinator will frequently use Microsoft 365, Zoom, Workday, LionPATH (Penn State's student information system), CollegeNet/25Live (scheduling platform), and iTWO (used for data access, analysis, and distribution at Penn State).

  • Outstanding attention to detail and accuracy

  • Driven to provide outstanding customer service

  • Effective organizational and problem-solving skills, with the ability to manage multiple priorities simultaneously.

  • Excellent communication (both verbal and written) and interpersonal skills

  • Ability to work both independently and in a team environment

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

If filled as Academic Program Coordinator - Intermediate Support, this position requires: General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None If filled as Academic Program Coordinator - Senior Support, this position requires: Associate Degree 4+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $61,000.00.
