The Business Administrative Associate II will report to the Director of Finance & Data Analytics regarding College finances, reporting, and business needs. This position will coordinate and assist in the management of the business and financial operations of the College of Nursing and will provide support for accounting, purchasing, reconciliation, financial analysis and reporting support to various business units and their respective accounts. In addition, the position will support the College in the creation of policies, workflows, and systems of operations to provide operational support for the College of Nursing.

Duties & Responsibilities:

College-level Financial Support:
  • Assists the director in the fiscal management of business operations of the college and all departments.
  • Conduct periodic Audits of financials and transactions to verify compliance.
  • Provide Financial and Budgeting support for Events the College is holding. Supports college-level financial projects such as budgeting, forecasting, and development of pro-formas as assigned.
  • Provides training for junior members of the finance team.
  • Perform other related duties and participate in special projects as assigned.
  • Participate in College and University committees and groups to advance knowledge in systems, policies, and best practices.
  • Prepare materials for audits; ensure records retention and segregation of duties.

College Unit Financial Management:
  • Manages the processing of all financial transactions for Nursing service units as assigned including accounts receivable, expenses and invoice payments.
  • Manages unit program finances including budget projections, contract execution, and monthly reconciliation.
  • Approves purchase order requisitions, expense reports, and invoice payments.
  • Manages accounting strings and payroll reconciliation.
  • Provides end-user support for UI systems, policies, and procedures.
  • Provides support in budgeting, monitoring, administering, and analyzing all College accounts.
  • Participates in the development and implementation of unit programs, objectives, and long-range planning.
  • Ensure compliance with University policies and records retention standards.
  • Support internal audit requests and filing.

Financial and Data Reporting:
  • Runs standardized and ad hoc reports from multiple systems to provide detailed analysis for executive leadership, department heads, directors, and others as requested.
  • Serves as resource to faculty and staff for data interpretation and analysis. Responds to internal and external requests for information.
  • Interprets data and presents results to administrative and academic policy makers.
  • Conducts financial-based research and analysis on new business opportunities; develops pro-formas to determine feasibility.
  • Assists the Director in Preparing and Submitting Surveys, Reports, and Requests from Internal and External Customers.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree in business administration, management, or a field related to the position.
  2. Five years of professional business, financial, and/or managerial work experience.
(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

Preferred Qualifications:
  • Five years of professional level accounting, managerial or business experience.
  • Experience working in a purchasing and processing role. System level experience in TEM processing, iBuy, P-Card/T-Card, and Banner.
  • Knowledge of generally accepted accounting principles, financial management, and budgeting on a university setting.
  • Proficient in spreadsheets, databases and other finance/accounting software, including Business Objects, Banner, OLAP cubes and Office Applications. Analytical and problem solving skills a plus.
  • Able to analyze financial data and run corresponding reports for use by directors and managers; able to multi-task and work in fast paced environment.
  • Detail-oriented and organized. Able to track progress of payments, contracts, or projects throughout the project lifespan.
