Department Summary

The Office of General Counsel represents the University of North Texas System in all legal matters. We are committed to exceptional representation and working collaboratively to render advice in an atmosphere of trust and respect. Position Overview

The position supports the UNT System Office of General Counsel and the Office of the Board of Regents. The Office of General Counsel is located on the Denton campus with satellite offices on each of the campuses (Fort Worth and Dallas). The principal location for this position will be at the UNT Gateway Center in Denton. Some attendance and in-person work will be required at the office in Fort Worth and at Board of Regents meetings at various locations in the DFW metroplex. This position performs moderately complex technical and administrative support to a team of lawyers, paralegals, the Board Office, and business operations in a public higher education in-house legal practice. Work is under general supervision with considerable latitude for initiative and independent judgment.

Minimum Qualifications

The qualified candidate will possess a Bachelor's degree in related field and one year of legal assistant, legal secretary, or closely related experience; or any equivalent combination of education, training and experience.

Knowledge, Skills and Abilities

Knowledge of the structure and content of the English language. Knowledge of legal research principles, techniques and electronic resources. Knowledge of administrative and clerical procedures and systems such as word processing, case and document management systems, file and record organization, transcription, designing forms, and other procedures. Familiarity with computer hardware and knowledge of software, including applications. Understanding written sentences and paragraphs in work related documents. Active listening skills. Talking to others to convey information accurately, thoroughly and concisely. Communicating information accurately, thoroughly and concisely in writing as appropriate. Ability to manage time. Ability to assess performance of self and others. Ability to arrange items, resources or task in a way that produces a defined structure or outcome or achieves a specific goal. Ability to communicate verbally and in writing. Ability to apply general rules to specific problems to produce answers that make sense. Active and skillful conceptualization, application, analysis, and evaluation of information to reach an answer or conclusion.

Preferred Qualifications

Four years or more administrative support/secretarial experience with a law firm or in-house legal environment.

  • 5% - Type, edit, proofread and finalize correspondence, reports, forms, and other documents. - (Essential)
  • 5% - Open electronic files, organize and maintain electronic and paper files in accordance with office guidelines for document and case management. - (Essential)
  • 10% - File clerking on assigned attorneys litigation cases. - (Essential)
  • 5% - Intake of new matters which include opening the electronic files. - (Essential)
  • 3% - Mail or arrange for delivery of correspondence. Process incoming mail and documents. Answer phone calls, route incoming calls, take messages. - (Marginal)
  • 25% - Maintain multiple attorney schedules and calendars and track deadlines. Organize and coordinate meetings, conferences, training sessions and events. - (Essential)
  • 5% - Assist attorneys and paralegals in collecting information and records/documents. - (Essential)
  • 5% - Track investigation reports and assign out for attorney review. Data entry and use of Excel to track data. - (Essential)
  • 6% - Prepare travel, time and expense reports in accordance with state regulations and policies. - (Essential)
  • 5% - Assist with records retention in accordance with applicable System and institution policies. - (Essential)
  • 5% - Compile and analyze data and prepare reports and summaries as necessary. - (Essential)
