Reporting directly to the President, the Corporate Executive Assistant provides high-level administrative, strategic, and operational support to ensure that corporate office activities are conducted efficiently and effectively. This role requires exceptional organizational skills, keen judgment, proactive problem-solving, and the ability to manage a high volume of critical, sensitive and confidential information with discretion. The Executive Assistant acts as a key liaison between Executive Leadership, organization-wide management, corporate support functions, regional and branch offices, employees, and external partners. Responsibilities include but are not limited to:
- Manage and prioritize leadership schedule, ensuring optimal use of time
- Maintain Corporate calendar and update, advise and inform stakeholders of evolving adjustments thereto
- Coordinate and prepare materials for meetings, presentations, and events, including agendas, briefings, and follow-up documentation
- Anticipate the overall corporate leadership needs, and proactively address issues before they arise
- Handle confidential communications, correspondence, and requests with professionalism and discretion
- Maintain organized systems for collection and retention of corporate records, information, and workflow management
- Serve as key point of contact for Executive leaders, and as liaison with organization-wide management, representing the organization with professionalism and a high level of service
- Facilitate communication and alignment between Executive leadership and internal departments or external stakeholders
- Draft, proofread, and edit emails, memos, reports, and other executive-level documents
- Plan, schedule, and coordinate setup and conduct of executive meetings, board meetings, and special events
- Prepare meeting minutes and track action items to ensure timely follow-up
- Coordinate travel arrangements, itineraries, logistics, and related time and expense reporting
- Support key initiatives by tracking timelines, milestones, deliverables, and cross-functional dependencies
- Conduct research, summarize findings, and provide recommendations as assigned
- Assist in planning, implementing, and monitoring strategic projects and organizational priorities
- Ensure the executive team members are well-prepared and briefed for all engagements
- Identify process improvement opportunities to enhance efficiency within the executive office
- Manage vendor relationships and help oversee budgetary or procurement activities relevant to Executive Leadership
Qualifications
- Bachelor's degree in business administration, Communications, or demonstrated relevant experience and proficiency in related field
- 5-7 years of experience supporting senior executives; C-suite experience strongly preferred
- Experience in a fast-paced corporate, nonprofit, or professional services environment
- Exceptional written and verbal communication skills
- Strong organizational and time-management abilities with attention to detail
- High emotional intelligence and ability to maintain confidentiality
- Proactive problem solver with the ability to make sound decisions independently
- Proficiency in Microsoft 365 (Outlook, Excel, Word, PowerPoint, Teams) and related productivity tools
- Experience with travel, reservations and C-Suite tools for planning itineraries and meetings
- Ability to manage multiple priorities and adapt to changing circumstances
- Professional, polished, and composed in all interactions

- Strong initiative and ability to anticipate needs without instruction
- Full-time, onsite or hybrid depending on organizational needs
- May require occasional extended hours and/or travel
