- Administrative Assistant/Clerk, Mooresville, NC

Responsibilities:



  • Post and update job openings on internal and external platforms (job boards, company career site, LinkedIn, etc.)
  • Screen incoming applications, maintain accurate candidate records in the Applicant Tracking System (ATS), and update candidate statuses
  • Coordinate interview scheduling, including booking rooms, sending calendar invites, arranging travel (when applicable), and preparing interview materials
  • Communicate with candidates professionally via email and phone regarding application status, interview details, and next steps
  • Prepare and send offer letters, coordinate background checks, reference checks, and pre-employment paperwork
  • Assist with onboarding logistics for new hires (e.g., preparing welcome packets, setting up systems access, and scheduling orientation)
  • Generate basic recruiting reports and metrics (e.g., time-to-fill, source effectiveness) using ATS data
  • Maintain organized recruiting files, documentation, and process trackers
  • Support recruiters with ad-hoc administrative tasks, such as vendor coordination, invoice processing, or updating recruiting materials


Requirements:



  • High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred
  • 1-3 years of administrative support experience, ideally in recruiting, HR, or talent acquisition
  • Strong proficiency in Microsoft Office (especially Outlook, Word, and Excel); experience with an Applicant Tracking System (e.g., Workday, Greenhouse, Taleo, iCIMS) is a plus
  • Excellent written and verbal communication skills with a customer-service mindset
  • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment
  • Discretion with handling confidential candidate and employee information
