Position Summary This position reports to the Vice President of Grid Planning. The Executive Assistant I performs a critical support role providing full administrative and broad support activities for the Grid Planning organization. The Executive Assistant I requires interface with both key external stakeholders and other leaders within the corporation. The Executive Assistant I proactively supports the executive by staying aligned with work routines, priorities, and communication needs. The individual in this position helps ensure effective management of time commitments, administrative responsibilities, and overall workflow. The role involves coordinating, researching, delegating, compiling, and organizing work that supports the executive's priorities and organizational objectives. A high degree of professionalism, confidentiality, enterprise knowledge, and effective communication skills is essential. Responsibilities
Provides high level administrative support and assistance to the Executive and other assigned leadership staff. Coordinates with internal and external executive-level staff to accomplish moderately complex activities. Performs considerable coordination and follow-through. Sets priorities and procedures for completing work. Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, expense report preparation, and other documents for the assigned executive and leadership staff. Provides support in preparation for the executive's meetings. May coordinate the preparation or compilation of various meeting materials. Interfaces with subordinates of the executive to plan and coordinate materials. Communicates effectively with other executives and their support staffs. Exercises excellent people skills and shows the ability to work with employees at all levels within and outside the organization in a highly professional manner. Effectively arranges travel and related accommodations for the executive. Efficiently schedules meetings on behalf of the executive and leadership team, taking notes and recording minutes, as needed. Receives incoming communication or memos on behalf of the executive or leadership staff. Reviews contents, decides importance, and summarizes and/or distributes contents to appropriate staff for effective handling. Maintains confidential records and reports. Performs office tasks including keeping accurate records, ordering supplies, and performing basic bookkeeping. Performs other duties as assigned by executive. Performs other related duties as assigned.
Job Specific Requirements
Ability to effectively use independent judgment in managing the daily schedules of the executive. The successful candidate will be initiative-taking, including keeping productivity with minimal oversight. This requires the ability to work independently as well as collaboratively in a team environment. Ability to interact with senior management and other business leaders professionally and effectively. Possess excellent organizational skills and attention to detail. Ability to function in a high-paced and, at times, stressful environment. Knowledge of office administration, clerical procedures, and recordkeeping systems. Ability to positively and effectively interact and communicate (both verbally and in writing) to a professional and culturally diverse workforce. In addition to internal employees, the successful candidate will be required to communicate, both verbally and in writing, to key external Duke Energy stakeholders, such as industry-related organizations, government agencies, etc. Effectively and professionally manages a wide variety of telephone calls, mail, visitors, and appointments to effectively manage the time of the executive. Ability to gain thorough knowledge of the Duke Energy organization as well as its policies and procedures. Extensive experience in providing executive administrative support with proven aptitude to manage numerous confidential documents and issues on behalf of an executive. Extremely proficient level experience working with Microsoft office products, including Outlook, Excel, Word, and PowerPoint and the ability to learn new or updated software. Ability to learn the work preferences and needs of the executive for effective handling of administrative tasks.
Basic/Required Qualifications
Bachelor's degree and 2 years of relevant work experience In lieu of degree(s) and years' experience listed above, a high school diploma/GED and 4 years of relevant work experience.
Desired Qualifications
Associate's or bachelor's degree Advanced level experience working with Microsoft office products, including Outlook, Excel, Word, and PowerPoint

Onsite Mobility Classification - Work will be performed at a company facility Work location at 525 South Tryon St, with minimal travel to other regional offices.
