Administrative Coordinator


Strategy, Budget, and Performance - Project Management Office


Hourly Range: $28.50 - $42.73



Role Summary: The Administrative Coordinator will provide project and administrative support for the Project Management Office, Office of Strategy, Budget, & Performance, and the Office of the County Executive. This position will support project managers with project planning, tracking, and implementation of tasks. The Administrative Coordinator supports the Office of the County Executive by managing constituent communications and overseeing front desk operations as well as key administrative functions including internship programs. This position may also support cross-departmental initiatives and take on other assignments as needed.



Role Responsibilities:



  • Collaborate with project managers to support activities, coordination, and documentation. Create, maintain, and update forms, surveys, templates, and other project materials to support organized and efficient workflows. Lead scope-defined projects that support County department needs. Build skills in project management practices and related tools. Prepare, schedule, documents meetings, and assist with internal or community event tasks.
  • Serve as the primary point of contact for constituent and resident inquiries on behalf of the County Executive. Receive, track, and respond to constituents and resident inquiries across multiple channels including email, phone, mail, and Salesforce, ensuring timely and professional communication. Work closely with the County Executive staff to research and accurately respond to or direct constituents to the appropriate Milwaukee County department.
  • Oversee the front desk coverage during business hours, including coordinating intern schedules. Train interns on office protocols, constituent service standards, and customer service expectations. Assign, monitor, and review intern work related to constituent support and front desk operations, providing guidance and feedback as needed.
  • Administer and oversee the proclamation workflow from initial request and assignment through final approval and dissemination.
  • Cross-train in Milwaukee County financial, procurement, and administrative systems to support daily office operations. Manage department files, record, and supplies. Submit and track work orders and administrative requests. Assist with onboarding and offboarding activities for new hires. Support meeting coordination and documentation, including scheduling, and summarizing key discussion points and next steps.
  • Perform other duties as assigned.



Minimum Qualifications:



  • Current resident of Wisconsin
  • Must possess a bachelor's degree
  • At least two (2) years of experience in administrative support and/or project management.
  • Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets.



Preferred Qualifications:



  • Experience working in a public sector position is beneficial
  • Experience with project management software such as Smartsheet
  • Experience with data management platforms preferred such as Salesforce



Knowledge, Skills, and Abilities: Strong customer service and constituent relations. Strong written and verbal communication skills. Strong analytical and organizational skills. Ability to work independently. Ability to research and seek resources. Responsiveness and reliability follow through.
