Job Summary:

The Legal Executive Assistant will report to the General Counsel of Revance and will work under the direction of both the General Counsel and the Chief Legal Officer. This is a visible role providing day-to-day support at the executive level. You will be responsible for providing administrative support to executive and senior legal leadership including scheduling meetings, managing calendars, and travel arrangements. You will also facilitate document processing, contract execution, maintenance of insurance policies, external counsel invoice processing and other administrative activities in the legal department. This role may also assist with project planning and management.

This person will demonstrate poise, tact, and diplomacy to effectively present information, while maintaining a high degree of professionalism and confidentiality with sensitive matters. They will leverage previous experience as a skilled administrative professional to work collaboratively and provide exceptional support to both internal staff and external stakeholders.

Responsibilities/Essential Duties:



  • Coordinate day-to-day operations for legal department leadership, providing comprehensive administrative support, including scheduling meetings and general calendar maintenance, making and updating travel arrangements, preparation and submission of expense reports and processing of invoices from outside counsel.
  • Coordinate budget management and accrual process including the submission and routing of key internal documents as required for the proper allocation and payments of funds.
  • Manage and reconcile corporate credit card accounts, senior team travel activity and expense reports for assigned leaders.
  • Manage legal entity portfolio, including director and officer lists and relevant statutory filings.
  • Assist with maintenance and renewal of insurance policies.
  • Assist with the management of outside counsel relationships, including maintaining contact lists, interacting with counsel and their offices with respect to invoicing and other matters, and invoice payment.
  • Work collaboratively with the legal team and other administrative staff to schedule meetings/conference calls and facilitate calendar alignment.
  • Coordinate and support virtual and in-person meeting requirements, including at times attending, note taking, action items, and follow up.
  • Facilitate meetings by creating structured agendas, preparing PowerPoint slides, preparing and distributing meeting materials, coordinating A/V and telecom meeting equipment, organizing catering, and ensuring connectivity of remote participants
  • Compose internal and external correspondence, organizational updates, and routine communications, as needed.
  • Occasional travel to the company's headquarters in Nashville, Tennessee may be required.


Basic Qualifications:



  • Bachelor's Degree
  • Minimum of 8 years executive administrative assistant experience with C-Suite and/or high-level executive support



Preferred Qualifications:




  • Experience in legal department preferred
  • Microsoft Office proficiency
  • Demonstrated ability for project management and coordination
  • Demonstrated ability to be proactive, take initiative, anticipate needs of the leadership team and exercise independent, sound judgment
  • Strong attention to detail with high level of efficiency and accuracy
  • Advanced experience with Microsoft 365 including Word, Excel, Project and PowerPoint or equivalent required as well as Concur or similar expense reporting system
  • Self-starter with ability to prioritize and multitask, ideally with prior start-up company experience
  • Strong time management skills
  • Strong organization skills and must be able to work both independently and as part of a team
  • Excellent communication (both verbal and written), customer service and phone skills are essential
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders
  • Ability to work well under pressure in time-critical situations and be productive and self-motivated during both busy and slow periods
