The Resupply Administrator is responsible for efficient and accurate processing of patient resupply orders by working within multiple billing and order management systems. The scope of this job includes researching and resolving order issues and navigating billing systems across various client platforms.

The successful candidate will possess:

  • Exceptional interpersonal skills and a passion for leading and coaching others.

  • Strong verbal and written communication skills.

  • A customer-service orientation and a high degree of professionalism.

  • Internal applicants must have a history of strong attendance and good performance standing in the Sleep Coach position.

Key Responsibilities:

  • Understand navigation of the S3 Resupply platform to process patient supply orders efficiently, including updating account information, resolving pending or on-hold orders, confirming resupply eligibility and documenting notes to support team communication.

  • Maintain working knowledge of the Bonafide platform, as well as other client billing systems to research patient accounts, interpret hold statuses, review balances and payment history, collect payments, verify insurance, and obtain prior authorizations.

  • Accurately build sales orders and ensure all required components are included, such as linking certificates of medical necessity (CMNs), prior authorization requests (PARs), applying appropriate pricing and billing dates, span dates, Medicare-specific narratives, and correct modifiers.

  • Follow standardized operating procedures for each client organization under the S3 Resupply service.

  • Audit orders and monitor the performance and accuracy of offshore teams to ensure quality and compliance.

  • Perform other job duties as assigned.

Required Qualifications:

  • Internal applicants must be in Stage 2 of Sleep Coach job or higher

Preferred Qualifications

  • Experience in the HME industry, medical office administration, HME CSR roles, or medical billing.

  • Experience in Microsoft Office with proficiency in Excel

  • Background in insurance verification, revenue cycle tasks, or medical coding.

  • Experience in administrative roles requiring payer interaction.

Job Expectations:

  • Willing to work additional or irregular hours as needed.

  • Must work in accordance with applicable security policies and procedures to safeguard company and client information.

  • Must be able to sit and view a computer screen for extended periods of time.
