Position Summary

The Executive Assistant II will support two leaders within the HR organization, the Vice President Total Rewards & HR Operations and Managing Director Executive Rewards, Compensation & HR Projects. The position will have high visibility within the organization due to the broad scope of the executives. The position requires a high degree of professionalism, confidentiality, tact, and diplomacy. As a primary responsibility, the Executive Assistant II should proactively manage the time and support the work effectiveness of the executives.

Responsibilities for this position include, but are not limited to the following:

  • Prepares correspondence, reports, presentations, agendas, minutes, etc.
  • Expertise in all Microsoft Office Suite products, such as Outlook, Word, Excel, PowerPoint, Teams, etc.
  • Proactively anticipates and manages work needs for executives and adapts to evolving priorities to facilitate the most effective use of the executive's time.
  • Agility to adapt to changing priorities and can facilitate those changes with executive's leaders.
  • Actively manages the calendar and time commitments of the executives. May independently make decisions as to who is scheduled for time with the executive.
  • Receives general directions; identifies needs and initiates administrative projects.
  • Performs considerable coordination and follow-through; sets priorities and procedures for accomplishing work.
  • Reviews and processes vendor invoices according to established guidelines and contract terms.
  • Maintains confidential records and reports.
  • Plans and coordinates meetings with internal and external stakeholders, including coordinating schedules, reserving conference room space, obtaining guest access, and coordinating meals.
  • Plans and executes team and department-wide events, such as group luncheons and celebrations.
  • Provides support in preparation for the executive's meetings. May coordinate the preparation or compilation of various meeting materials. Interfaces with direct reports of the executive to plan and coordinate materials.
  • Provides administrative and organizational support to the executives in external business and community leadership responsibilities and involvement.
  • Prepares own expense report as well as the expense reports for the assigned executives.
  • Coordinates travel arrangements.
  • Exercises excellent interpersonal skills and demonstrates the ability to work with employees at all levels, both within and outside of the organization in a highly professional manner.
  • Demonstrates excellent communication skills, both verbal and written, with a professional and culturally diverse workforce as well as with those external to Duke Energy, such as community-based organizational groups, industry-related organizations, government agencies, etc.
  • Exhibits the highest level of confidentiality.

Basic Qualifications

  • Bachelor's degree + six years related work experience
  • In lieu of bachelor's degree + six years related work experience, high school diploma/GED + 10 years related work experience

Desired Qualifications

  • Experience initiating independent judgement in managing daily schedules of executives
  • Ability to work effectively with executive leadership and other senior business leaders with professional maturity
  • Thorough knowledge of Duke Energy, as well as the company's policies and procedures
  • Experience planning or organizing department events
  • Ability to function independently, but also work collaboratively
  • Exceptional organizational skills to prioritize work and complete assignments accurately, while under the pressure of competing deadlines and frequent interruptions
  • Self-motivated; takes initiative to maintain productivity with minimal oversight
  • Experience providing senior-level executive administrative support in a large company with proven aptitude to manage confidential issues on behalf of the executive

Working Conditions

  • May require infrequent flexibility in work hours
  • May require infrequent local travel (<5%)
  • Onsite mobility classification - work will be performed at Duke Energy Plaza
