Job Summary
The Admin Operations Coordinator will coordinate administrative and building operations support services within an assigned unit. Areas of involvement typically include financial records and reports, budget administration, administrative policies and procedures maintenance and building support services.
This position will interact on a consistent basis with: unit management and staff, vendors/contractors and visitors.
This position typically will advise and counsel: unit management and staff.
Responsibilities
Job Duty 1 - Provide support in unit and or project budget administration; maintain budget related records and generate reports.
Job Duty 2 - Process purchasing related records and transactions; maintain inventory records.
Job Duty 3 - Coordinate building operations maintenance which typically includes building access control.
Job Duty 4 - Coordinate delivery, installation and inter-office movement of furniture and equipment.
Job Duty 5 - Coordinate new employee intake process including initiation of related documentation and data input.
Job Duty 6 - Maintain unit administrative related policies and procedures.
Job Duty 7 - This position may hire, train, and supervise student employees.
Job Duty 8 - Perform other job-related duties as assigned
Required Qualifications
Educational Requirements High school diploma, GED Certificate or Vocational School Diploma
Required Experience Six years of job related experience
Preferred Qualifications
- Extensive administrative experience working in a high-volume and deadline-driven office setting.
- Proficient with Microsoft Office Suite and ability to learn and adapt to new software packages competently.
Wpm: 40- 60 - Experience with booking travel arrangements and calendar management.
- Experience with organizing and scheduling meetings and events.
- Experience with taking meeting minutes and creating presentations.
Excellent time management skills to ensure efficient functioning of schedules and division operation.. - Ability to establish and maintain effective working relationships to maintain a high level of internal and
external customer satisfaction. - Excellent written and verbal communication skills to write and proofread reports as needed and to maintain
professional communication with customers. - Candidates must be able to obtain and maintain a Procurement Card (PCard).
- Candidates must be able to obtain and maintain an active security clearance.
- The position requires in-office/ in-person attendance in Orlando, Florida.
- The position requires periodic travel to and from Georgia Tech Research Institute and Georgia Institute of
Technology locations in Georgia, Florida, Arizona, and Utah
Knowledge, Skills, & Abilities
SKILLS This position requires advanced skills in general office operations to include budget administration, procurement processing, records management, building access and maintenance and staging operations. Use of office related computer applications is required.

Conditions of Employment
As a condition of employment, the facilities the employee will need to access require United States citizenship. Additionally, providing administrative support for classified meetings and sponsor meetings necessitates an active security clearance, as access to classified meeting locations is essential to fulfilling the responsibilities of this role. For instance, the coordination of the classified sponsor meeting and the CUI Hypersonics Conference was limited to U.S. citizens due to access restrictions.
