We are currently seeking a Oncology Data Specialist to join our Cancer Clinic team. This full-time role will work hybrid (on-site/remote).

SUMMARY

Identifies, registers, and maintains records of all cancer patients by utilizing tumor registry data system. Analyzes registry data and disseminates information in accordance with professional ethics. Assists the HCMC Cancer Committee in all activities required by the Commission on Cancer to maintain approval status of the Hennepin County Comprehensive Cancer Center Program, including Cancer Conferences, patient care evaluations and other qualify management activities. Prepares a Cancer Program Annual Report. Responsible for maintaining current follow-up information on cancer cases, and for reporting data to the Minnesota Cancer Surveillance System and the National Cancer Database.

RESPONSIBILITIES

  • Through the use of multiple sources, identify all reportable cases of cancer and certain benign conditions as defined by the Cancer Committee, standards of the Commission on Cancer or the American College of Surgeons and guidelines of Minnesota Cancer Surveillance System
  • Abstracts patient clinical data
  • Codes topography & histology of cases in addition to coding all items of information for computer entry. Performs data entry and retrieval
  • Monitors completion of treatment information, AJCC stage, and follow-up with readmissions and treatment changes
  • Creates and runs queries for physicians/research staff
  • Participates in research projects as requested
  • Actively participates in quality control activities for accuracy and consistency of abstracting and staging
  • Actively collects long-term patient follow up data according to guidelines established by Commission on Cancer of the American College of surgeons
  • Organizes, participates, takes minutes and assists with tumor conferences
  • Participate in patient care initiatives with registry data
  • Respond to requests for data
  • Prepare narrative/written reports and graphic presentations of data
  • Submit data to special research programs and to the State of Minnesota
  • Provide administrative support to the Cancer Committee and follow-up on action items
  • Maintain the registry reportable list as specified by the Cancer Commission
  • Abstracting/Data Entry - obtain specific data elements from medical records on new cases and readmissions with direct entry into computerized database. Add additional information including death dates. Comply with site-specific data sets for ongoing special studies and data entry
  • Submit data to the National Cancer Data Base "Call for Data" as requested by their schedule. Submission must be clean data on first submission

Lead Oncology Data Specialist duties:

  • Maintain and document quality assurance activities for the Cancer Program to include peer review, re-abstracting studies and staff meetings
  • Cross-train as needed to cover optimal department functions
  • Establish policies and procedures for cancer data services and presents to the Cancer Committee or other appropriate persons for review and approval
  • Coordinate Cancer Program Annual Report
  • Coordinate preparation for re-accreditation by the Commission on Cancer
  • Facilitates student rotations in the area

QUALIFICATIONS

Minimum Qualifications:

  • Associate's degree in National Cancer Registrars Association-Accredited program or a healthcare related field including or in addition to 2 semesters of Human Anatomy and Human Physiology (grade C or better) completed or in progress
  • Eligibility to take Oncology Data Specialist exam within three years of hire if new to cancer registry

Preferred Qualifications:

  • Experience working with cancer registry
  • RHIT (Registered Health Information Technician) or RHIA (Registered Health Information Administrator)

Knowledge/ Skills/ Abilities:

  • Basic knowledge of anatomy, physiology, medical terminology and pathology
  • Working knowledge of the electronic medical record
  • Experience using METRIQ
  • Computer skills utilizing applicable software
  • Knowledge of data collection
  • Ability to manage database and query requests

License/Certifications:

  • Oncology Data Specialist (ODS) credential with the National Cancer Registrars Association or ability to complete within one year if currently working in Cancer Registry
