Shift: Full Time - 8:00 AM to 5:00 PM Monday through Friday (Flexibility in hours is required) ABOUT THE JOB As the Senior Healthcare Executive Assistant, you'll play a pivotal role in supporting our CEO and Chief of Staff by managing critical administrative responsibilities that enable them to focus on their strategic priorities. This is not just an administrative role-it's a position of trust and impact, requiring a strong sense of initiative and the ability to anticipate the needs of high-level executives. From expertly managing executive calendars and confidential correspondence to coordinating projects and acting as a liaison with internal and external stakeholders, you'll ensure that operations run smoothly and efficiently at the highest levels of leadership. Your expertise in the Microsoft Office Suite, including Teams, Excel, Word, and Outlook, will be instrumental as you navigate complex scheduling, prepare critical documents, and support executive decision-making. DETAILED JOB DESCRIPTION Performs a wide variety of administrative tasks, and independently initiates and implements processes to manage projects, competing priorities, information, and people. Prepares executive daily for meetings/schedule, including gathering appropriate supporting materials/files, organizing information; ensuring clarity on purpose, location and travel time. Conserves executive's time by reading, researching, and routing correspondence; drafting emails and documents; collecting and analyzing information; and initiating telecommunications, as directed. Proactively and confidentially scans executive's inbox and responds to non-priority emails or forwards/delegates emails to departments, as directed. Completes projects as assigned and follows up on results. Collaborates effectively with internal partners to accomplish various tasks and projects on behalf of executives by communicating goals and objectives to others and ensuring that solutions and outcomes address the needs of the executive and organization. Handles variety of matters involving contact with various staff, board members, medical committees, government agencies, and the public. Collaborates with other departments and administrative staff to maintain continuity of business operations through clear, professional lines of communication. Maintains executive's confidence and protects company interests by always keeping information confidential. Continuously improves own skills by identifying development opportunities and proactively seeking performance feedback. Capable of using personal computers and Microsoft software, including advanced usage of Word, Excel, PowerPoint and Outlook; PeopleSoft; and various other ancillary systems. Demonstrates ability to work independently and under pressure. REQUIRED QUALIFICATIONS Bachelor's degree or an equivalent combination of education and experience from which comparable knowledge, skills, and abilities can be acquired. Four (4) years of related work experience. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met with or without reasonable accommodation.
