Position Summary
With minimal supervision, this role acts as the key contact and subject matter expert for all vehicle Fleet Services activities. To include but not limited to, the coordination, prioritization and overall management of the maintenance and strategy to achieve maximum vehicle output and uptime. Works with Sourcing Manager and internal customers to determine preferred standard vehicle models by function and renewal cycle.

Responsibilities
- Obtains vehicle information from internal customers via verbal, written or emailed communication and discuss repairs and time needed for the repairs.
- Creates and manages vehicle repairs with Versiti vendors, if appropriate track rental/replacement vehicles while maintenance is performed.
- Coordinates pick-up and drop-off of vehicle for needed repair/maintenance with appropriate department. Off hours coordination is sometimes needed.
- Installs GPS devices and readers in vehicles and manage FOB assignment to drivers. Other duties as assigned
- Manages I-Pass for Fleet vehicles traveling to/through IL's Toll System.
- Manages the fuel systems, whether that is the credit cards or internal Versiti pumps at a facility.
- Records appropriate cost information about vehicle repairs/mileage/fuel/maintenance into Fleet Management system.
- Manages GPS system, including vehicle monitoring, driver information, data share with departments as appropriate
- Monitors emails daily, both personal and as assigned to your state to correspond in a timely manner to both internal and external customers.
- Reviews and submit monthly invoices through the Oracle system to ensure billing is accurate and submitted in a timely manner.
- Acts as primary point of contact with Versiti insurance provider for all claims, submitting and tracking correspondence and repairs.
- Partners with Sourcing Manager with identification and standardization of vehicles across Versiti network.
- Works with internal customers and suppliers to effectively communicate repair/maintenance timeliness and vehicle return to service.
- Obtains information from external customer to determine approval of requested/required work and have authority to sign-off on defined $ amounts and request higher $ amount approvals with Sourcing Manager.
- Works with external vendors/suppliers to identify new product offerings, identify lowest Total Cost of Ownership (TCO).
- Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification
- Understands and performs in accordance with all applicable regulatory and compliance requirements
- Complies with all standard operating policies and procedures
Qualifications
Education
- High School Diploma required
- Fleet coordination experience preferred
- Experience running a vehicle repair program preferred
- Strong judgment and quantitative decision making skills required
Experience
- 1-3 years of vehicle maintenance preferred
- Customer training experience preferred
- Ability to support multiple projects at one time; good multi-tasking skills required
Knowledge, Skills and Abilities
- Basic computer skills required
- Ability to communicated both verbally and in writing required
- Ability to listen and understand customers' needs required
- Ability to read operating manuals and instructions required
- Good problem solving and project management skills required
- Ability to train internal personnel on proper operation of vehicles used within BCW operation required
- Attend vehicle safety training as needed required
- Working conditions: Occasionally works outdoors. required
