Job Title: Accounts Payable Specialist

Job Overview:

Our client, a leading manufacturing company, is seeking a detail-oriented and proactive Accounts Payable Specialist to join their finance team. The successful candidate will be responsible for managing the company's accounts payable functions, ensuring accurate and timely processing of vendor invoices, reconciling purchase orders, and maintaining strong vendor relationships. This position is ideal for someone who thrives in a fast-paced manufacturing environment and has a keen understanding of accounts payable processes.

Key Responsibilities:
  • Invoice Management: Review and verify the accuracy of vendor invoices for materials, supplies, and services. Ensure all invoices are coded correctly and match purchase orders, receipts, and contracts.
  • Payment Processing: Process payments to vendors, including checks, ACH transfers, and wire payments, ensuring compliance with payment terms and optimizing cash flow.
  • Supplier Communication: Act as the main point of contact for vendors regarding payment status, resolve discrepancies, and address any issues related to billing or outstanding invoices.
  • Reconciliation: Reconcile accounts payable aging reports, resolve discrepancies, and ensure accurate reporting of outstanding liabilities.
  • Purchase Order Matching: Work closely with the purchasing department to ensure accurate matching of invoices to purchase orders and receipts for inventory and materials.
  • Expense Reporting: Review and process employee expense reports in accordance with company policies before issuing reimbursements.
  • Month-End Closing: Assist with month-end closing procedures by preparing accounts payable reports and accruals, ensuring all financial records are up-to-date.
  • Compliance: Ensure adherence to company policies, internal controls, and regulatory requirements related to accounts payable processing and tax compliance.
  • Reporting: Generate accurate accounts payable reports for senior management, including cash flow forecasts and aging reports.
Requirements:
  • Education: High school diploma or equivalent required; Associate's degree in accounting, finance, or a related field preferred.
  • Experience: Minimum of 2 years of experience in accounts payable, preferably in a manufacturing environment.
  • Skills:
    • In-depth knowledge of accounts payable processes, including invoice matching, payment processing, and reconciliation.
    • Proficiency in accounting software and advanced Microsoft Excel skills.
    • Familiarity with purchase orders, materials, and inventory systems.
    • Strong attention to detail and the ability to process high volumes of transactions accurately.
    • Excellent communication skills, with the ability to effectively collaborate with both internal teams and external vendors.
    • Strong problem-solving skills and the ability to resolve payment discrepancies.
    • Ability to handle multiple priorities and meet deadlines in a fast-paced environment.
Preferred Qualifications:
  • Experience with manufacturing-specific accounting software and ERP systems (e.g., SAP, Oracle, or similar).
  • Understanding of industry-specific tax regulations and compliance requirements related to materials and inventory.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
