GENERAL SUMMARY/ OVERVIEW STATEMENT:
This position offers exposure to the administrative, clinical, operative, and academic aspects of the Division of Sports Medicine within the Department of Orthopedic Surgery. The incumbent will work closely with a Sports Medicine Surgeon to manage their practice and patients. This is a valuable hands-on learning experience to gain Administrative and Clinical knowledge in a clinical setting. This position is ideal for those with a background in athletic training, exercise science, or similar, and who is looking to advance their career in healthcare.
Working under general supervision from the Administrative Manager, the incumbent will provide administrative support to health care providers within an ambulatory setting. The Admin & Clinical Assistant will be responsible for the management of surgical scheduling/booking and outpatient clinic schedules for orthopaedic surgeons/providers, as well as supporting clinical operations within the practice.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Administrative Responsibilities/in-direct patient care tasks (75%):
Schedule patient appointments ensuring clinic schedules are full and meet scheduling guidelines as outlined by surgeon and advanced practitioners (i.e. NP/PA).
Monitor clinic schedules to facilitate efficient clinics. Meet with providers regularly and recommend change to clinic templates to maximize access.
Patient pre charting including questionnaires, various forms as specified by the physician.
Complete patients forms including time off requests, school notes, FMLA paperwork as needed.
Referral of patient to internal or external MD/physical therapy as specified by physician.
Responsible for ensuring that patients, families, and caregivers understand information given to them with respect to surgical procedures, tests, & instructions.
Preoperative packet review and education with patient.
Manage surgeons OR block time, ensuring all time is filled with the appropriate patients.
Release OR time within expected timeframes.
Perform tasks associated with scheduling of surgeries ensuring pre-operative requirements are completed in a timely manner.
Collaborate with pre-op providers to ensure all tests are performed for surgical clearance.
Facilitate the collection of pre/post-operative data for quality assurance purposes.
Respond to all tasks associated with patient management in a timely fashion, including in-basket management. Triage messages to the right provider in the right time.
Manage e-faxes for providers and triage to the appropriate providers.
Manage physicians outlook calendar to include administrative, clinical, and academic commitments.
Manage phone lines and respond to patient requests in a timely manner.
Provide superior customer service to patients, understanding that patient experience and is of the utmost importance.
Clinical Responsibilities (25%) - In the clinical setting, this position functions under the direct supervision of a physician
* Review the daily schedule of patients and facilitate efficient patient flow.
* Assist with patient intake process.
* Perform vital signs assessment.
* Implement wound care under direct supervision of MD/PA.
* Assist with preparing patient for procedures.
* Perform selected procedures including Suture/staple removal.
* Assist the physician in reporting normal test results to patients including follow-up.
* Assist the physician in coordinating all appropriate care in other settings such as visiting nurse visits, home agencies, hospice, home IV infusions, etc.
* Maintain a clean, uncluttered atmosphere for patient care. Disinfect and prepare clinic rooms before and after each patient visit and conduct clinic in a hygienic manner in keeping with infection control guidelines.
* Educate patients concerning injury prevention, rehabilitation, and performance improvement. Performs brace fitting and crutch training in the clinic environment.
* Perform brace fitting and crutch/gait training in the clinic setting.
* Perform home exercise teaching programs in the clinic setting.
* Transcribe orders, including diagnostic testing and medications.
* Develop athletic injury protection programs as appropriate to patient population.
Back-up Coverage and Miscellaneous Projects
* Provide coverage at the front desk, assisting with check-in and check-out as needed to meet patient needs
* Cross-cover the surgical scheduling needs of other providers as needed/assigned by Administrative Manager
* Performs all other duties that are practice specific and are appropriate to this level of position; this may include projects as assigned
* Job duties will include 75% Administrative and 25% Clinical responsibilities.

SKILLS/ABILITIES/COMPETENCIES REQUIRED:

*Professional knowledge: Knowledge regarding orthopaedics, anatomy and surgical procedures is strongly preferred.

*Work Output: Exceptional attention to detail

*Leadership: Demonstrate integrity, accountability and self-reflective skills. Ability to work with minimal supervision in managing a high-volume, surgical practice

*Interpersonal/communication: Effective interpersonal/communications skills and ability to communicate with a variety of healthcare professionals as well as a diverse patient population. Communication includes both oral (in-person and telephone) and written form

*Collaboration: Ability to effectively collaborate across multiple role groups/disciplines to meet patient needs in a timely manner

*Time Management: Exceptional organizational skills and ability to organize time and priorities effectively

*Information Systems/Technology Skills: Knowledge of Epic, Microsoft Outlook and Word. Knowledge of Excel (spreadsheets) and PowerPoint (presentations) is preferred

EDUCATION:

  • Athletic Trainer, or similar, experience preferred
  • High School Diploma required.
  • Associates or Bachelors Degree in Athletic training, Exercise Science, Kinesiology, or similar area of study strongly preferred

EXPERIENCE:

  • Minimum of 1-2 years related experience in hospital, ambulatory clinic or exercise setting preferred
  • Clinical understanding of surgical scheduling preferred
  • Experience with Epic strongly preferred
