The Parking Services Coordinator position works for MGH Police, Security and Outside Services and reports to the MGH Senior Manager of Outside Services and Security. The role will work in collaboration with the MGB Workplace Services staff at Assembly Row (AR). This role handles the Parking and Commuter service needs for onsite staff at AR. These services include registering employees for assigned parking for the AR garage, inputting data into various applications such as PeopleSoft and iParc parking system. The position will be responsible for the MBTA program for AR to include registrations/cancelations of passes into the MBTA system, completing the distribution of MBTA passes to AR staff and other duties as assigned. This position will also assist in a variety of administrative functions to provide support to the Workplace Services department at AR. This role will assist with onboarding new employees for any MBTA/Parking and Commuter service needs that arise on site. - Act asthe primary point of contact for all parking and MBTA pass inquiries and issues at the AR location. - Oversee all transportation activities, including new parking registrant processing, terminating parking, and weekly payroll reporting. - Work with the City of Somerville on all transportation platforms as needed. - Coordinate the annual MA DEP Rideshare documentation submission. - Enter, maintain and retrieve data across various systems/platforms. - Monitor very active AR Commuter Services mailbox daily and respond to all inquiries in a timely manner. - Work with parking operator for both owned and leased garages on any issues. - Facilitate the monthly MBTA pass distribution program, including pass replacements and responding to general questions. - Assist in preparing monthly report for event parking validations for department charge back. - Work with parking operator to ensure all parkers are in accordance with our policies; record offenders and distribute notifications as needed. - Assist with the upkeep of all parking and MBTA documents. - Participate as an active member of the Workplace Services Team; participate in cross training as necessary and be knowledgeable with protocols and procedures across the Team. - This position to work in collaboration with our commuter services team at BWH and MGH. - Performs other duties as assigned.
- High School diploma required. - Proven customer support experience; 3+ years' experience in customer service. - Bachelor's degree preferred. - Strong phone skills and active listening. - Prior experience working with Finance teams such as Payroll and Treasury preferred. - Ability to multi-task, prioritize, and manage time effectively. - Excellent interpersonal skills necessary to develop and maintain cooperative working relationships. - Ability to take initiative, work independently and follow solutions to completion. - - Proficiency with Microsoft Office suite of programs (In particular, Excel and Access). - Familiarity with the use of tools and techniques such as V-Lookups and Pivot tables. - Familiarity with HR databases such as PeopleSoft and Workday. - Excellent time management skills and the ability to prioritize work. - Demonstrated skills for communicating in person, and in writing, to a wide breadth of senior and middle management, various staff, and third-party providers and vendors. - Detail oriented and comfortable working in a fast-paced office environment. - Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
