Property Assistant-Hiring Immediately

The Property Assistant is an on-site position that works with the Property Management team to support the day-to-day operations of a high functioning office. Responsibilities include general office management, contract administration support, invoice processing, maintaining, and organizing files and records, taking, and distributing minutes for weekly meetings, and managing various building events for the properties and staff.

Key Responsibilities (this list is not exhaustive):

  • Perform general office management tasks to support the on-site property management team, including ordering and maintaining office and kitchenette supplies, troubleshooting copiers and IT issues, managing meeting schedules, and assisting with filing and organizational needs.
  • Scan and file documents on shared drives, ensuring proper organization and easy access.
  • Generate purchase orders in Nexus Payables and process invoices in accordance with approval workflows.
  • Prepare and distribute contracts for signature and maintain executed contracts for record-keeping purposes.
  • Handle general administrative duties, including photocopying, updating and distributing weekly reports and meeting minutes, and printing monthly financial reports and annual budgets.
  • Maintain and update contact lists and on-site lanyard contact cards.
  • Cultivate and maintain relationships with building staff, tenants, and contractors.
  • Attend department meetings, take meeting minutes, and report on the status of ongoing issues or projects at assigned properties.
  • Support the team with regular building and site inspections, identifying deficiencies and proposing solutions.
  • Oversee tenant retention programs and organize building staff events.
  • Create and maintain a supply of signage and marketing materials as needed.
  • Take on additional tasks and responsibilities as required.
  • Carry a personal cell phone with TPC email for after-hours communication.
