Overview

The HR Communications and Policy Specialist supports LifeLong Medical Care's mission by developing and managing HR policies, procedures, and internal communications to support the standardization of HR practices and ensure the success of HR initiatives. This role will be responsible for drafting and implementing Standard Operating Procedures (SOPs) for the department, overseeing HR policy and procedure documentation, and providing clear and timely communication across multiple audiences about key HR processes, changes, and updates. Additionally, this role may be called upon to support with the project management of key initiatives. Reporting to the HR Director, this specialist will play a vital role in supporting HR projects and initiatives that align with LifeLong's operational goals and values, helping all employees to understand the rationale behind and importance of the HR team's practices and requests.

This is a full time, exempt, benefit eligible position in Berkeley, CA.

LifeLong Medical Care is a multi-site, Federally Qualified Health Center (FQHC) with a rich history of providing innovative healthcare and social services to a wonderfully diverse patient community. Benefits

Compensation: $75,000 - 90,000/year. We offer excellent benefits including: medical, dental, vision (including dependent and domestic partner coverage), generous leave benefits including nine paid holidays, Flexible Spending Accounts, 403(b) retirement savings plan.

COVID-19 Vaccine Policy

In accordance with LifeLong Medical Care's commitment to provide and maintain a workplace that is free of known hazards, we have adopted a Mandatory COVID-19 Vaccine Policy to safeguard the health of our employees and their families; our patients and visitors; and the community at large from infectious diseases, that vaccinations may reduce. This policy will comply with all applicable laws and is based on guidance from the Centers for Disease Control and Order of the California State Public Health Officer. Unless a reasonable medical or religious accommodation is approved, all employees must receive COVID-19 vaccinations.



Responsibilities

    Policy Development and Documentation:
    • Draft, review, and maintain HR policies and SOPs in line with legal and organizational standards.
    • Ensure all documentation is up-to-date, accessible, and aligned with LifeLong's values and compliance requirements.
    • Partner with HR leadership to assess policy needs and develop new policies as necessary.
    • Interface with the Paycom HRIS and central HR SharePoint site to publish HR policies, procedures, updates, and other collateral.
  • Internal HR Communications:
    • Develop and disseminate HR-related communications, including updates, announcements, and policy or process changes.
    • Collaborate with the HR team to ensure consistent messaging that supports employee understanding and engagement.
    • Create communication templates and tools to streamline HR information sharing.
    • As needed, develop visually appealing internal communications, presentations, and guides using basic design platforms.
  • Project Management:
    • Support the planning, coordination, and execution of HR projects as directed by the HR Manager.
    • Monitor project progress, gather updates, and ensure timely completion of deliverables.
  • Continuous Improvement:
    • Identify opportunities to enhance HR processes and communication channels.
    • Gather feedback from stakeholders to drive improvements in HR operations and support.


Qualifications

  • Strong writing and editing skills, with attention to clarity and audience engagement.
  • Excellent interpersonal skills, highly organized, with high integrity.
  • Capacity to remain flexible and to manage deadlines and multiple responsibilities in a fast-paced environment.
  • Strong organizational skills, ability to prioritize tasks, and to work under deadline in a positive, friendly, supportive manner; experience with project management approaches and/or platforms preferred.
  • Proficient in Microsoft office suite.
  • Familiarity with health care delivery systems preferred, especially safety net health care provision.
  • Familiarity with California state and federal employment regulations preferred.
  • Familiarity with the Paycom HRIS and/or basic graphic design principles and platforms (ex: Canva, Adobe Spark) a plus.

Education and Required Credentials

  • Bachelor's degree in communications, business, human resources, psychology, or a related field, or equivalent experience.
  • Minimum of three years of relevant experience in human resources practice, internal communications, policy and procedure development, or related professional experience.
