As the Executive Assistant, you will provide dedicated one-on-one support to the President/CEO, serving as the primary point of contact for all matters related to the Office of the President/CEO. You will liaise with the board of directors, committees, and executive team, coordinate executive outreach and external relations efforts, and oversee special projects that reflect the mission and values of the Central Florida Foundation. In this role, you will exercise discretion, judgment, and adaptability, working independently within established policies and guidance from the President/CEO. You will occasionally work irregular hours, travel as needed, and be on-call to address emergencies or critical situations.

 

To be successful as the Executive Assistant, you should have:

  • A Bachelor’s degree or Associate’s degree with five or more years of experience supporting C-level executives, preferably in a non-profit environment or an equivalent combination of education and experience.
  • Proven ability to lead, motivate, coach, and develop relationships in a team-oriented environment.
  • Solid skills in writing reports, business correspondence, and presentations, with the ability to effectively engage with diverse audiences, including top management, public groups, and boards.
  • Ability to solve practical problems, interpret complex information, and work independently on projects from conception to completion.
  • Proficiency in Microsoft 365, videoconferencing tools (Zoom), and other productivity software, with knowledge of planning, scheduling, and nonprofit systems like CSuite considered a plus.

 

Responsibilities as the Executive Assistant include:

  • You will manage the President/CEO’s calendar, travel arrangements, meeting preparation, and correspondence, including drafting responses and handling confidential matters.
  • You will organize and support meetings by scheduling, sending notices, preparing agendas, taking minutes, and maintaining records.
  • You will liaise with the President/CEO, internal departments, and external stakeholders, ensuring smooth communication and follow-ups.
  • You will assist with executive team initiatives, outreach activities, and staff meetings to align departmental efforts and address critical issues.
  • You will monitor the office budget, support hiring and performance review processes, and provide periodic front desk coverage.
